PRESIDENT (1)
The president of the PTO leads the monthly Executive Board meetings, the Annual General Membership
Meeting and writes the agendas. Submits article for the school and PTO newletters. Monitors and
supports all the activites of the other officers. Works to set the vision of the PTO for the year and
ensures that the group meets specified goals.
 
SECRETARY (1)
The secretary of the PTO takes the minutes at the monthly Executive Board meetings and at the Annual
General Membership Meeting. These minutes are distributed to the board members for their review and
approval, and, thereafter, are posted at each school. Additional responsibilities of the secretary include
handling all PTO correspondence and updating the PTO bulletin board located in the Stormonth lobby.
 
TREASURER (1)
This Executive Board position requires at least a two year commitment, with fall being the busiest time of
the year. The treasurer is responsible for all monetary collections and disbursements, as well as
preparation of monthly financial reports and an annual budget, maintaining financial records, reconciling
 
VICE PRESIDENT - Programs (1)
This Vice President is responsible for the coordination of several established social programs for
Stormonth, Bayside, and the district. Chairpersons are recruited for each program, and the vice
president coordinates the work of the chairpersons and their volunteers. This person is responsible for
the administration of a large portion of the PTO budget.
• Fall Meet and Greet (1 chairperson, 6 volunteers)
This event takes place, at Stormonth only, on the eve of the first day of School in September. A
chairperson is responsible for preparing and distributing invitations in conjunction with the school
Principal. Volunteers are responsible for refreshments, set-up, and clean-up
• Back-to-School Coffee (1 chairperson, 8 volunteers-bakers)
When school resumes, parents are invited to attend the Back-to-School Coffee. Parents new to
the district are especially welcome, since this is a great opportunity to meet other parents, school
staff, and PTO representatives. A chairperson is responsible for preparing and distributing
invitations. Volunteers are responsible for refreshments, set-up, and clean-up.
• Staff Luncheon (1 chairperson, 8 volunteers)
The staff luncheon takes place the week before school starts. The entire district staff is invited to a luncheon held at one of the school's cafeterias. The chairperson coordinates the date, catering,
and volunteer roles. The volunteers provide desserts and help with set-up, serving, and clean-up.
• Bayside Activity Nights (1 or 2 chairpersons, many volunteers)
Bayside Activity Nights take place approximately seven times per school year. Two grade levels at a time spend a Friday evening at school participating in a variety of activities including open gym, bingo, karaoke, and arts and crafts. Chairpersons publicize the nights, plan the activities, purchase the supplies, and solicit/oversee the volunteers. Volunteers serve as chaperones.
• Teachers' Conference Dinners (1 chairperson, 6 volunteer/bakers + 2 volunteers)
The PTO provides a dinner for the teachers before evening conferences in both the fall and the
spring. The chairperson is responsible for coordinating arrangements with each school, ordering
catered food, and arranging the volunteers who help with baking desserts and setting up.
• Mega Party (1 chairperson, 30 volunteers)
Mega Party is a Stormonth event which takes place in June. An all-school activity is selected, and
the PTO provides financial and volunteer support. The Field Day chairperson solicits and
coordinates volunteers according to the activity which has been planned.
 
VICE PRESIDENT - Administrative Services (1)
This Vice President's position is responsible for the PTO membership drive, directory, newsletter, and
website. Capable chairpersons are recruited to assume direct responsibility for each of these areas
under the vice president's guidance. Collection and compilation of newsletter articles from the
Executive Board, editing the articles and copying/distribution of the prepared newsletter are the
primary ongoing responsibilities for this position.
• Membership (1 chairperson)
The membership chairperson is responsible for promotion and administration of PTO
membership. Specific responsibilities include development, distribution, and collection of
membership forms as well as management of the databases related to PTO members and
directory entries. Additionally, this person works closely with the Treasurer with payment
tracking and accounting.
• School Directory/Calendar (1 chairperson)
The directory chairperson works closely with the Vice President - Administrative Services and
the membership chairperson to compile the information necessary to produce an accurate
school telephone and address directory along with a detailed school year calendar. The time
commitment for this position is concentrated during the months of August and September.
• PTO Newsletter (1 chairperson)
This chairperson is responsible for producing the monthly newsletter. This includes all editing
and circulation.
• Website (1 chairperson)
The website chairperson will work with the PTO board members and committee chairpersons to
publicize PTO information, events, and programs on the district website.
 
VICE PRESIDENT - Cultural Arts and Science (1)
The Vice President responsible for cultural arts and science monitors the allocation and spending of
cultural arts money at each grade level. This position also coordinates the Stormonth Art Appreciation
program in which parents and family friends or relatives make classroom presentations on cultural arts
or science-related topics. The Family Cultural Arts & Science Event which is managed by chairpersons
in the years they take place, also falls under the responsibility of this position.
• Stormonth Art/Science Appreciation (1 chairpersons, many volunteers)
At the request of each grade level's teaching team, parents, relatives, or family friends volunteer
to present a specified art or science-related topic to a grade level. Volunteers may present alone
or in pairs. They need not be experts on a requested topic. Previous years' presentations and
research are available as a resource. This is a terrific way to help out in the classrooms and to
make a difference in our children's education.
• Family Cultural Arts & Science Event (1 chairperson, many volunteers)
This chairperson will become a member on a Family Cultural Arts & Science Night committee
consisting of the teachers responsible for planning the event. Volunteers are recruited to acquire
supplies, provide supervision, and to assist with set-up and clean-up for the event. This is not an
annual event.
• Special Interest Day (1-2 chairpersons, many volunteers) Special Interest Day is an afternoon
where the children get to enhance their learning by experiencing new things from sports to
science, food to fun crafts. The chairperson coordinates 35 different presenters to perform
workshops in different areas of interest on this half day event.
 
VICE PRESIDENT - Ways and Means (1 or 2 )
Two Individuals serve on the PTO Executive Board to coordinate all fundraising activities for Stormonth
and Bayside. They are responsible for establishing and maintaining vendor relationships, scheduling
and coordinating events, working with volunteer chairpersons for each event, and reaching fundraising
goals.
 
Gift Wrap Sale (2 chairpersons, 12 volunteers)
The Gift Wrap Sale is the PTO's largest fundraiser. It takes place in Sept., with product distribution in
November. The sale requires two chairpersons to distribute, collect, tally, and submit order forms to the
vendor.
 
Fall Book Fair (2 chairpersons, 50 volunteers)
The Fall Book Fair usually coincides with Stormonth School's Open House in September and runs for
two days and one evening. It is the PTO's second biggest fundraiser. Chairpersons run the book fair,
which involves developing flyers, giving book talks, scheduling class viewings, and running contests.
 
Family Photo in the Park (1 chairperson, 4 volunteers)
This event takes place on a Sunday in Fall, following the School Open House. One chairperson is
responsible for developing flyers, collecting reservation forms, recording/ tracking payment and
scheduling the photographer. Four volunteers are needed to help check-in families on the day of the
event.
 
Spirit Wear (2 chairpersons, 5 volunteers)
The Spirit Wear sale is held annually. This event requires two chairpersons, one to lead the sale at
Stormonth and one to lead it at Bayside. These people work with vendors to select items, distribute
and collect order forms, and manage the sale.
 
Spring Book Fair (2 chairpersons, 28 volunteers)
The Spring Book Fair is usually held in late March and runs for one evening, coinciding with the
teacher-sponsored Cake Walk event. Two chairpersons are responsible for running the book fair, which
involves developing flyers & coordinating the schools' purchases of books with profits from the event.
 
Bake Sales (2 chairpersons, 20 volunteers)
Chairperson(s) coordinate bake sales during conferences twice each year. Chair(s) organize
volunteers for table setup, coordinates volunteers to bake and run the sale.
 
Cupcake Run (1 chairperson, 50 volunteers)
Run is held every Mother's Day weekend on that Sat. before Mother's Day. Run has event organizers
but chair is responsible for communicating with PTO and organizing volunteers.
 
Family Fun Night (2 chairpersons, 20 volunteers)
This event takes place in the Winter usually in February. Chair coordinates fun night at Stormonth
school. Usually pasta dinner served, pottery painting, cake walk, ice skating and family games.
 
Monster Bash (2 chairpersons, 20 volunteers)
The educational foundation runs this big schoolwide event before Halloween weekend. Chairs works
with foundation in whatever capacity. Helps with coordinating volunteers.
 
Waterpark (1 chairperson, 5 volunteers)
This event happens in the Spring. Chair creates and distributes flyers to advertise Waterpark event.
Coordinates sign up for waterpark during 1/2 day off of school. Collects money and maintains
database for Waterpark sign up. Organizes staffing of the registration table at the waterpark.
 
VICE PRESIDENT - School Services (1)
The Vice President - School Services oversees several programs that enhance our children's school
experiences. Chairpersons are recruited for each of these programs, and the vice president is
responsible for coordinating and supervising these chairpersons.
• Bus Riders (1 chairperson, 40 volunteers)
The bus riders program was developed to help the first week of school run more smoothly. A
chairperson solicits parent volunteers to ride the Stormonth children's bus routes, either in the
morning, mid-day, or afternoon, for as few as one or as many as four days. The parent riders
provide reassurance for students and their parents as well as support for the bus drivers when it is necessary.
• North Shore Kids' Safety Network (NSKSN) (2 chairpersons - 1 Bayside, 1 Stormonth, many volunteers) Safety Week
This committee works with local law enforcement and school administration to present programs
and information relevant to our children's well-being. Heads up the annual bike helmet sale.
• Library/Media Centers (1 or 2 chairpersons, 20 volunteers)
Both Stormonth and Bayside utilize parent volunteers to assist with tasks such as shelving books,
binding books, processing new books, and helping students as needed. The chairperson works
with each librarian to determine a volunteer schedule, then solicits and coordinates the volunteers.
• Art Room (1 or 2 chairpersons, 10 - 15 volunteers)
Volunteers assist the Stormonth and Bayside art teachers with various projects on an on-going
basis. A volunteer's time commitment is flexible, ranging from once a week to once a month. A
chairperson coordinates the volunteer schedule according to the art teachers' needs.
• School Pictures (2 chairpersons, 6 - 8 volunteers)
Chairpersons for each school are responsible for notifying families of school picture dates,
distributing and collecting picture and yearbook order forms, arranging volunteers to help with
picture days, and distributing pictures and yearbooks when they are ready.
• Yearbook (2 chairpersons, 5 volunteers)
A chairperson for each school coordinates the production of a yearbook. These individuals are
responsible for working with the vendor regarding design, layout, and production of the yearbook.
Volunteers assist the chairpersons as needed. Responsibilities might include taking candid student and class photographs, helping with artwork, proofreading, and distribution.
• K-4 Registration and Visitation (5 volunteers)
Volunteers assist the Stormonth office staff with the K-4 registration and visitation procedures. A
few hours of assistance are required during one day in January and two days in April.
• Battle of the Books (2 chairpersons)
The Battle of the Books program involves 4th through 6th grade students who form teams, read
from a list of designated books, and compete in a panel-style question and answer event. Each
school's chairperson will work closely with their respective librarian to organize a recognition party
for the participants.
